Privacy policy

SheetDive helps online sellers split their orders across several Google Sheets, one per delivery country. This page explains what data we process, why, who we share it with and how you stay in control.

Who is responsible for your data

The data controller is the SheetDive team. Contact: contactsheetdive@gmail.com.

For your customers’ data contained in your sheets (names, phone numbers, addresses), you, the merchant, are responsible. SheetDive processes it only on your behalf, to copy it into the right sheet.

The data we collect

  • Your account: name, email address, Google profile photo if you sign in with Google, password (stored hashed, never in plain text) if you create an account by email, and your WhatsApp number if you provide it.
  • Your messages to support: name, email address and message content, only to reply to you and follow up on your request.
  • Google Sheets access: the access tokens provided by Google, encrypted in our database, and the address of the connected Google account.
  • Your setup: your stores, the link to your main sheet, your country sheets, your detection rules and the corrections you make.
  • Orders: for each processed order, a copy of the sheet row (columns and values), the detected country and the method used.
  • Payments: amount, date, plan purchased and payment method, passed on by our payment provider. We never see your mobile money codes or your bank card numbers.
  • Technical data: server logs (date, page requested, errors) needed for security and troubleshooting.

Why we use it

  • To provide the service: read your orders and copy them into the right country’s sheet.
  • To show your history, avoid duplicates and let you handle orders “To review”.
  • To manage your subscription, payments and order quota.
  • To contact you about your account (support, security, end of subscription).
  • To protect the service against fraud and abuse.

We do not sell your data, rent it out or use it for advertising.

Access to your Google data

SheetDive asks Google for two separate permissions:

  • Sign in with Google (name, email, profile photo): to create your account and identify you.
  • Google Sheets (“see, edit, create and delete your spreadsheets”): to read your main sheet, write orders into your country sheets and mark already-processed orders in the main sheet. SheetDive only opens the sheets whose link you give it. It never creates or deletes a sheet.

SheetDive’s use and transfer to any other app of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. In particular:

  • your sheet data is only used to provide and improve the SheetDive features you use;
  • it is never sold, used for advertising, or used to train artificial intelligence models;
  • nobody reads it, except with your consent (for example to help with a support request), for security reasons or to comply with the law.

You can remove SheetDive’s access at any time, from “Settings” or from the Security page of your Google account. Dispatch then pauses.

Use of artificial intelligence

When our rules are not enough to recognise an order’s country, we may send only the phone number, address and city of that order to our artificial intelligence provider. The customer’s name, the product and the price are never sent. The answer is kept in an anonymised cache (as a fingerprint, with no readable phone number or address) so the same request is not sent twice.

AI is turned on by default. You can turn it off at any time in “Detection rules”: no data is then sent to this provider.

Our providers

We use technical providers, who process data only to make SheetDive work:

  • hosting of the website and the database;
  • Google, for Sign in with Google and Google Sheets;
  • country detection by artificial intelligence, if turned on;
  • payment by mobile money and bank card;
  • sending emails (verification codes, notifications).

Some of these providers are located abroad: your data may therefore be transferred there. We choose recognised providers that protect data (encryption, restricted access), we only send them what is necessary, and they may not use it for their own purposes. The list of our providers is available on request at contactsheetdive@gmail.com.

How long we keep it

  • Account, setup and orders: as long as your account exists.
  • When your account is deleted: your stores, orders, corrections and Google tokens are erased immediately. Your Google Sheets themselves remain intact in your Google account.
  • Payments: kept after the account is deleted, detached from it, for the period required by accounting rules (10 years).
  • Technical logs: a few weeks at most.

Security

All traffic uses HTTPS. Google tokens are encrypted, passwords are hashed, and database access is limited to the SheetDive server. Each account only sees its own stores and orders.

Cookies

SheetDive only uses cookies needed for it to work: your sign-in session, protection against attacks (CSRF), the selected store, the chosen language and the security of the Google sign-in. Your browser also keeps your theme choice (light or dark). There are no advertising cookies and no tracking tools.

Your rights

You can ask to access, correct or delete your data, or object to its processing, by writing to contactsheetdive@gmail.com. We reply within one month. You can also delete your account yourself from “Settings”.

If you believe your rights are not respected, you can contact the competent personal data protection authority.

Minors

SheetDive is a professional tool for adult merchants. It is not intended for minors.

Changes

We may update this policy. For any significant change, we will notify you by email or in the app. See also the terms of use and the legal notice.
